VP of Shared Services

The VP of Shared Services works with the Strategic Planning Team as well as other ELI leaders to address the organization’s critical focus on enhancing the client experience, operational discipline and company-wide areas of scalability and efficiency, performance improvement, service enhancement, and product development. This is a strategic senior leader position within ELI.

The incumbent in this position provides strategic direction and leadership in the areas of finance, information technology, facilities management, procurement, insurance, and operations. The incumbent pursues organizational alignment with values, mission, and vision through relationship building, staff development, role modeling, and the implementation of organizational policies and procedures. The position is responsible for all financial strategies as well as banking and legal relationships including cash flow planning, investments and asset management. The VP of Shared Services oversees all technology initiatives as well as IT changes and project updates. This role is also responsible for leading the operations team and projects.

ELI has a virtual workforce and the incumbent will work from their home office. The incumbent must be located in the Atlanta area and will be expected to work from ELI’s offices periodically and as needed for meetings.

Essential Duties and Responsibilities

Shared Services Oversight and Leadership

  • Assesses the current shared services model to create a strategy and vision around the development and documentation of future state process flows, to identify needed organizational and workflow changes.
  • Establishes and maintains solid relationships with business unit leadership and other senior leaders.
  • Ensures customer satisfaction by leading the collaborative development of service level agreements, adhering to those agreements and monitoring costs, quality and timeliness.
  • Leads and manages the Shared Services department’s function and performance by developing people and processes focused operational discipline and enhancing the customer experience and in support of ELI’s vision, mission and core values.
  • Provides support, oversight, and direction to the Shared Services departments ensuring adequate staffing and optimal operation in accordance with ELI needs and intention.
  • Builds, develops, and improves operations, processes, and procedures in Shared services to support strategic direction.
  • Serves as contributing member to the Strategic Planning Team and the Leadership Team.

Finance

  • Provides strategic financial input and leadership on decisions affecting the organization.
  • Provides guidance, sets goals and measure results of Accounting department to ensure people & processes are properly functioning, accurate, and providing value to ELI.
  • Coordinates with the Sales and the CEO on annual revenue targets.
  • Oversees ELI’s budget, reviewing and auditing to ensure estimates align with expenditures.
  • Advises, negotiates, manages, and administers all contracts over $10,000 into which the organization may enter.
  • Oversees the plan for capital expenditures and manages all processes for accuracy and timeliness.
  • Educates department managers and program directors on financial issues impacting their areas of responsibilities.
  • Initiates continual improvement of the financial management process. This includes creation and analysis of various financial data used for strategic decision-making.
  • Approves all major systems hardware and software purchasing decisions.
  • Acts as primary contact and administrator for ELI banking relationships.
  • Works closely with Learning Solutions on contracts with policy, procedures, and pricing for Facilitators
  • Supports the sales team with MSA negotiations and RFQ development by recommending list pricing for courses and services.

Infrastructure (Operations, IT, Procurement, Vendor Management)

  • Manages the purchasing system and procedures; oversee the procurement function.
  • Oversees the Retirement Plan Program. Selects the 401K Fiduciary/Advisor, TPA and recordkeeper for 401k plan and reviews semi-annually the plan with Advisor.
  • Partners with Human Resources to manage ELI’s retirement planning and health insurance as well as other benefit programs and expenses.
  • Assesses property, casualty and other business insurance needs and executes contracts to ensure adequate coverage to protect mission assets.
  • Responsible for selecting and monitoring outsourced IT services.
  • Leads the transformation for IT security program including resource management and coordination.
  • Responsible for vendor contracts and vendor management.
  • Responsible for facilities management including but not limited to leases, building management, and the security of ELI’s offices.

Additional Duties and Responsibilities

  • Provides technical financial advice and knowledge to others regarding the financial discipline.
  • Prepares Key Performance Metrics (KPMs) for Finance and Operations, including leading and lagging indicators.
  • Enhances and/or develops, implements, and enforce policies and procedures that will improve the overall operation and effectiveness.
  • Guides identification and implementation of various technology platforms and determines appropriate and cost-effective technology solutions that are strategically aligned to support overall goals and objectives.
  • Leads company wide project as needed.

Required Qualifications

  • Bachelors or Master’s degree in accounting, business administration, or CPA credential or equivalent work experience.
  • Ten (10) or more years related experience and/or training or equivalent combination of education and experience in accounting as well as other Shared Services functions.
  • Deep understanding of shared services organizations and models. Demonstrated ability in setting strategy, driving performance, consistently producing superior results, cultivating ownership while enforcing company policies and applicable laws.
  • Strong communicator with the ability to artfully influence, persuade and drive action. A collaborative management style and a strong customer service orientation.
  • Proven ability to work effectively cross-functionally with senior leaders in the organization.
  • Wide range of experience in the areas of finance, supply chain and program management.
  • Broad generalist experience in Operations, Information Technology, Operations and Finance.

Preferred Qualifications

  • Previous experience working in a similar organization a plus.
  • Experience as a company General Manager or business Owner a plus.
  • MBA

  • Highly computer literate with familiarity with computer operation, programming and system design.
  • Substantial and proven knowledge and skill within finance, information technology, and facilities management.
  • Knowledge of GAAP guidelines and standards.
