Virtual Training and Production Specialist

The purpose of the Virtual Training and Production Specialist position is to provide end-to-end support for the production of ELI’s virtual learning experience. This will include:

  • Managing collaboration with Sales, ELI Learning Delivery, and ELI’s virtual producers to accurately schedule, set up, execute, and close out virtual events.
  • Creating professional PowerPoint presentations that integrate the client’s brand, business objectives, values, and related policies for use in virtual sessions.
  • Producing ELI virtual training events with a facilitator, managing the technology of the virtual meeting room across several meeting platforms to maintain and expand virtual learning expertise.
  • Providing virtual delivery and production coaching for facilitators.
  • Maintaining ELI’s custom virtual technology platform, keeping up to date on important Zoom, Webex, or Teams features and ATEM software.
  • Developing tools for continuous improvement of ELI’s personalized, professional, and impactful facilitated virtual learning experience.
  • Fulfilling related client requests for materials to execute their training.

Essential Duties and Responsibilities:

1. Production & Broadcasting

  • Plans and oversees the production of webcasts, from pre-production to final product.
  • Manages the set-up process for ELI’s virtual classroom and webinar sessions.
  • Conducts pre-session planning and technical calls with clients.
  • Conducts content and technical walkthroughs with facilitators/presenters.
  • Produces virtual classroom and webinar sessions using ELI’s virtual platform and select client platforms.
  • Provides technical support to instructors, participants, and guest speakers before and during virtual classroom and webinar sessions.
  • Helps to execute engagement strategies during the sessions by providing tactical tips for interaction tools, including polling, status checks, chat, voice and video sharing, breakout rooms, and other features that create an interactive, engaging experience.
  • Conducts a post-event debrief event with instructors, identifying best practice tactics and areas for improvement.

2. Facilitator Support & Customizations of Training Materials

  • Creates/updates PowerPoint presentations that help reinforce ELI’s understanding of a client’s business and communicate key aspects of their vision, mission, values, and policies.
  • Creates custom presentations needed to execute a special platform or adaptive solution, assisting with creating an archive of PPT decks and other necessary presentation materials accessible to our facilitation team.
  • Interfaces with the facilitator and client to gain approval for the final presentation.
  • Makes recommendations about improvements to the virtual learning experience.

3. Certified Instructor

  • Community Support
    Helps support updating and maintaining the Certified Instructor Community courses and learning tools on ELI’s LMS, LearnUpon, and the rest of the Learning Delivery team.

4. Administration/Coordination

  • Executes “Tech Calls” to orient new clients to ELI’s process and gather necessary details about the platform and event to ensure accuracy in delivery and a great learning experience for participants.
  • Maintains ELI’s virtual event calendar confirms session details with ELI’s Client Relationship Managers, facilitators, and producers, and develops the final presentation in concert with the facilitator and any other materials need to execute a virtual event.
  • Tracks attendance and deliver end-of-session reports to clients and internal ELI staff.
  • Provides general administrative support for any ELI facilitation situation.
  • Maintains all software and equipment required to execute events to minimize errors and technical issues.

Required Qualifications:

  • Bachelor’s degree in Instructional or Educational Technology, Instructional Design, Multimedia Design
  • Experience working on a Learning and Development team in production and content development.
  • Minimum three (3) years of experience working in virtual production and facilitation environment.
  • Experience as a producer in an e-learning environment.
  • Minimum three (3) years of experience providing client services support within an office environment.
  • Must possess relevant experience that demonstrates an orientation and approach toward exceptional internal and external client service and the ability to manage the quality of the work of facilitators and producers.

Systems/Software Experience:

  • Advanced proficiency in working with Virtual meeting platforms: Zoom, WebEx Training/Meetings; Microsoft Teams
  • Intermediate expertise with Office 365 tools (Email, Word, Excel, PowerPoint, Outlook, SharePoint).
  • Intermediate experience with Adobe Creative Cloud tools, e.g., Adobe Premiere Pro and Adobe Media Encoder
  • Basic to intermediate experience with Learning Management Systems, experience with the LearnUpon LMS a plus.
  • Basic experience with survey software, such as Class Climate a plus.
  • Basic experience with rapid eLearning tools, such as Articulate, is also a plus.
  • The person who fills this role must be very comfortable learning and using instructional technology.

  • Frequently required to sit for extended periods, reach with hands, fingers, and arms, and speak and hear clearly.

  • May infrequently lift or move up to 20 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
  • The noise level in the work environment is typically low to moderate.
