Senior Accounts Receivable Specialist

The purpose of this position is to timely and accurately process all accounts receivables invoices and credit memos. The incumbent in this position will be responsible for but is not limited to invoicing clients for material orders, trainer expenses and services; collecting and following up on past due account receivables; preparing daily, weekly and monthly accounting reports for management; providing guidance in cash application process to ensure accuracy; assisting clients; and acting as the liaison in resolving billing discrepancies.

Essential Duties and Responsibilities

  • Prepares daily invoicing of book orders, certifications, license to duplicate, day trainings, e-learnings, virtual licenses/services and customizations
  • E-mails invoices to clients and uploads back up documentation to software system, or enters billing into third party software system for payment
  • Issues credit memos and attaches back up documentation in notes section of software
  • Collects Account Receivables; sends past due notices; contacts clients by phone; updates Receivable Delinquencies after 31 days; and begins collection procedures after 60 days of delinquency
  • Prepares daily, weekly, and monthly reports for management

Additional Duties and Responsibilities

  • Makes recommendations for process improvements working collectively with accounting team
  • Serves as back up to the Fulfillment and Accounting Specialist
  • Performs other duties or projects as assigned
  • Provides support to other departments as needed and performs other duties as assigned

Required Qualifications

  • Education: High School Diploma, some college or accounting courses and 3 years of experience
  • If no college courses, 5 years of experience
  • Advanced Excel and Word skills

Preferred Qualifications

  • Accounts Receivable and Accounts Payable experience or equivalent accounting experience
  • Experience with Financial Force Accounting software or similar platform
